CLIENTS OBLIGATIONS:
1. Adhere to the tour destinations country’s Governments rules and regulations during your visit.
2. Always stay with the group during visits to historical sites, or while performing Hajj or Umrah.
3. Respect local customs of location of visit.
4. Travel documents, such as passports, visas. Etc.
5. Keep an open mind in event of emergencies or any adjustments during the tour.
6. Attend orientations organized by Qalam Tours.
TERMS AND CONDITIONS
1. PAYMENT TERMS:
• All payments and documentations must be finalized and submitted on month prior to the commencement of the tour.
• Participants have the option of selecting payment plans either 100% upfront or 60% upfront with 20% payments due at two subsequent intervals, or split of 40% and 20% payments at two later stages.
• Payment completion is required from all pilgrims prior to the issuance of any travel documents.
2. CANCELLATION AND REFUND
• While airlines do not formally approve refunds for group bookings, we cannot guarantee refunds on tickets. However, we can refund the tour fees after deducting service charges.
• The process for ticket refunds is managed by the airline; therefore, agents are only able to issue refunds once airlines have refunded the agents.
3. RESPONSIBILTIES OF BOTH PARTIES
CLIENT RESPONSIBILITIES:
• Providing accurate personal information required for booking.
• Timely payment of fees according to the agreed-upon schedule.
• Compliance with travel regulations and requirements (e.g., passport validity, visa application).
• Adherence to the terms and conditions outlined in the agreement.
COMPANY RESPONSIBILITIES:
• Arranging transportation, accommodation, and other services as outlined in the itinerary.
• Ensuring the safety and security of clients during the tour.
• Providing necessary travel documents and information (e.g., itinerary, emergency contacts).
• Offering assistance and support to clients throughout the duration of the tour.
• Resolving any issues or complaints raised by clients in a timely and satisfactory manner.
4. TERMINATION POLICY:
CLIENT TERMINATION:
• Clients may terminate the agreement by providing written notice to the travel company.
• Depending on the terms of the agreement, clients may incur cancellation fees or forfeit a portion of their payment if they terminate the agreement after a certain deadline.
COMPANY TERMINATION:
• The travel company reserves the right to terminate the agreement if clients fail to comply with the terms and conditions outlined in the agreement.
• In cases of unforeseen circumstances or events beyond the company’s control (e.g., natural disasters, political instability), the company may need to terminate the agreement for the safety and security of clients.
• The company should outline any refund policies in the event of termination by the company, including the extent to which clients will be reimbursed for payments made.
• This notice period allows both parties to make necessary arrangements and mitigate any potential losses or disruptions.
• The client is hereby notified that a notice period of one or two months is required for termination of this agreement prior to the tour date.
